Terms and conditions

Welcombe Holidays ("we/us") act as a booking agent on behalf of the owners of accomodation lets for holidays ("the owners/proprioters"), to customers ("you/your/the customer"). We arrange the booking contracts and are responsible for collecting the appropriate sums of money from the customer and paying the appropriate sums of money to the owners. Our fee is for forming these contracts and being responsible for monies paid from the customer and to the owners. We will use reasonable endeavours to resolve any problems that may arise, but any dispute relating to the holiday itself will be a matter directly between the customer and the owners. We will therefore put the customer in touch with the owners or their chosen caretaker if any such problem may occur. As we do not require exclusivity from the proprioters we are only responsible for the bookings we arrange.

1. Bookings and payments.

 

A contract is formed between us and the customer by the payment of a deposit and information provided by the customer on the booking form. The contract will only be effective when confirmed by us in writing in the form of a signed receipt. In the event that the customer fails to return a filled and signed booking form to Welcombe Holidays the customer accepts the terms and conditions on paying the deposit (or full balance if the booking is made less than six weeks before your stay)  for the allocated letting period.

 

We highly recommend taking out an independant travel insurance policy before or on point of booking. This should insure your deposit should extreme instances occur such as illness, injury or death.

 

A non refundable deposit is required by us in order to reserve the week desired at the chosen property. The amount will vary between properties and can only be negotiated by us and the owners. Please see specific property terms 13.

 

The further portion of the overall balance together with the "damages deposit" if applicable (see specific property terms 13) is payable no later than six weeks before the beginning of the customers holiday. The moneies owed to the owner will be passed on no later than four weeks before the beginning of the customers holiday unless otherwise agreed in writing.

 

The "damages deposit" will be repayed from us up to seven days of the customers departure, if the return payment is made by cheque then a further 5 working days will be allowed for the cheque to clear. This is subject to deductions for serious damages or extreme cleaning. Only reasonable charges will be levied and small breakages such as a broken glass will not be charged for. We also reserve the right to invoice the customer after the holiday if there are any major damages that cost more to repair than the origional sum of the damages deposit. Should the damages deposit be wavered we reserve the right to invoice the customer if any damage to the property or furnishings are incurred during the customers occupancy.

 

Certain payment types depending on the medium used may be subject to further charges. Will will not charge for direct bank transfers, cheques or debit card payments. If you fund the payment using a credit card, send money in a different currency or make an international transfer and charges are levied by the operator (i.e. paypal) it is the responsibility of the customer to cover these charges. 3.5% will be added to the total balance for credit card and paypal payments. There may be extra charges for international payments, the customer is responsible to cover these costs. The full balance should be received by Welcombe Holidays in order for a booking to be made. Any bank/exchange rate charges are the responsibility of the customer.

 

2. Occupying the property

usually 4pm - 10am sat to sat or fri to fri but will be stated on the receipt of the deposit. please see terms for specific properties 13.

 

3. General responsibilities of the customer.

The customer must ensure the security of the property during their stay including locking of doors and windows when nessersary.

 

Adhere to any rules of the property set out by the owners.

 

Not to carry out any activity on the property which may be illegal. Not to sub let the property. Not to cause nuisance or annoyance to anybody who may be staying or living close to the property in question.

 

The customer must declare to welcombe holidays any persons or pets who will be staying at the property prior to the rental period.

 

4. Cancellations

We highly recommend taking out an independant travel insurance policy before or on point of booking. This should insure your deposit should extreme instances occur such as illness, injury or death.

If for any reason you need to cancel your booking after the deposit has been paid you must inform us immedietly. If this is within four weeks before the arrival the the customer is still liable to pay the full balance for the holiday unless extreme circumstances apply such as death or serious injury. The owners retain the the right to decide wether a refund may be given but a policy on fairness will be excecuted. If the holiday is cancelled prior to four weeks of the commencement date of the holiday due to extenuating circumstances such as death or serious injury then a refund may be given minus the non refundable deposit. The owners of any specific property may have different terms, see specific property terms.

4a. Amendments

Should you wish to amend your booking dates after the deposit or remaining balance has been paid; if dates are available we will endeavour to carry out your request. We remain the right to charge an amendment fee. The amount would be 10% of the origional deposit price. Any increase in advertised price would be need to be paid along with the amendment fee and a receipt of this amount would act as your booking confirmation for your new dates. Any decrease in advertised price would not be subject to a refund from us.

5. Descriptions of properties

Every property is different therefore we require full tranparensy on the booking form to ensure we are matching you with an accommodation that will suit your needs. It is the customers responsibility to ensure that this information is correct before the contract is formed. While we visit all of our properties and endeavor to be as accurate as possible in the descriptions of such it is the owners responsibility to ensure the properties description matches that of the property.

 

5.a While we update our calender's ('Availability and Prices') as often as possible we cannot guarantee that any property is available until confirmed by us in writing. 

 

6. Dificulties and maintenence

We will do our best to resolve any problems that may occur however it is ultimately the responsibility of the owners to ensure any problems with the property are resolved in a timely fashion.

7. Cancellation of booking by owners

In the unlikely event that the reservation be cancelled by the owner which may only be for reasons which retain the accomodation unihabitable such as failure of utilities, fire damage or any other reasons beyond the owners control the customer is entitled to a full refund.

 

8. Breaches of these terms and conditions

If the customer commits any serious breach of these terms and conditions, the owner or welcombe holidays will have the right to terminate your booking. If the customer is already at the property when a breach of these terms and conditions is realised the owner may require you to vacate it with immediate effect. A serious breach of these tems and conditions includes failure to comply with the rules of the property, health and safety advice or circumstances where the behaviour of the customer, their guests or pets is likely to have a significant adverse effect on those staying or living nearby the property. In the event of a serious breach of these terms and conditions no refund of any fees the customer has paid will be returned.

 

9. Changing dates

After the contract has been formed this is only possible with the agreement of the owners and cannot be guarenteed due to other confirmed bookings allocating the desired dates. In the event of a date change the payment amount on the property will be the origional agreed amount plus any difference if the new date is a more expensive week. Where the owner agrees a change in date we reserve the right to make an administration charge.

10. Our liabilities

Neither the owners or welcombe holidays accept any responsibilities for the customers personal belongings or the customers vehicle(s). It is the responsibility of the customer to arrange appropriate insurance cover in respect of these items.

 

11. pets

Pets must be agreed with before the contract is agreed. As some owners allow pets and some do not it is the owners descretion to what they allow in their properties (please see specific property terms 13). Should a pet cause damage to the property the damages deposit may be incurred.

12. insurance

Owners should have public liability insurance incase of serious injury or death. Customers are encouraged to purchase their own travel insurance. Welcombe holidays do not provide insurance of any sort.

13. Specific property terms

 

13.1 Moons House.

 

A 20% non refundable deposit is required to reserve and provisionally book the accomodation.

 

The property may be occupied at 4pm on the day of arrival and vacated at 10am on the day of departure.

 

The 'damages deposit' is £100 for this property. Should the damages deposit be wavered we reserve the right to invoice the customer if any damage to the property or furnishings are incurred during the customers occupancy. This will also include any extra cleaning costs should the property be left in an undesirable condition.

 

Well behaved pets are allowed provided specific information is diclosed on the booking form. An extra charge of £15 will be levied for each pet.

13.2 Knapp Shippon

 

A 20% non refundable deposit is required to reserve and provisionally book the accomodation.

 

The property may be occupied at 4pm on the day of arrival and vacated at 10am on the day of departure.

 

The 'damages deposit' is £100 for this property. Should the damages deposit be wavered we reserve the right to invoice the customer if any damage to the property or furnishings are incurred during the customers occupancy. This will also include any extra cleaning costs should the property be left in an undesirable condition.'

 

Well behaved pets are allowed provided specific information is diclosed on the booking form. An extra charge of £15 will be levied for each pet.

 

13.3 The old smithy Bunkhouse.

 

The booking can be any amount of days there is no 'changeover day' subject to availability.

 

The deposit is the full amount of the cost of the stay.

 

There is no damages deposit. We reserve the right to invoice the customer if any damage to the property or furnishings are incurred during the customers occupancy. This will also include any extra cleaning costs should the property be left in an undesirable condition.

 

Well behaved pets are allowed at no extra cost.

 

13.4 Little nod.

 

A 20% non refundable deposit is required to reserve and provisionally book the accomodation.

 

The property may be occupied at 2pm on the day of arrival and vacated at 10am on the day of departure.

 

Damages deposit is not required for this property. We reserve the right to invoice the customer if any damage to the property or furnishings are incurred during the customers occupancy. This will also include any extra cleaning costs should the property be left in an undesirable condition.

 

One well behaved pet is allowed at this property at no extra cost, please provide information upon booking.

 

13.5 Jasmine Cottage.

 

A 20% non refundable deposit is required to reserve and provisionally book the accomodation.

 

The property may be occupied at 4pm on the day of arrival and vacated at 10am on the day of departure.

 

Damages deposit is not required for this property. We reserve the right to invoice the customer if any damage to the property or furnishings are incurred during the customers occupancy. This will also include any extra cleaning costs should the property be left in an undesirable condition.

 

One well behaved pet is allowed provided specific information is disclosed on the booking form. An extra charge of £15 will be levied for each pet.
